Cash registers vary from simple machines that allow you to input a price and print a receipt to more technologically advanced devices. It also allows you to define specials, promotions or discounts so that they ring up automatically, taking out the guesswork of which items are on sale each day or week. You can also add loyalty cards to the system, which applies discounts to customers once the customers make the correct number of purchases. POS systems connect with credit and debit card machines for seamless transactions, while cash registers typically don't. Most POS systems offer a cash drawer as part of the peripheral package.
The more sophisticated cash registers can give you an idea -- at least a breakdown by category -- of the items you sold that day. A POS system tracks the exact item sold and compares it with an inventory list that you update to show how much more of the item is left. Additionally, a POS system notifies you when it's time to reorder an item. This feature also helps you create a cost of goods sold report, which is essential to running your business at a profit.
Cash registers don't have the ability to enter customer information and track their purchase history, but a POS system does. Whether the majority of your sales are online, over the phone or in person, you can enter basic information -- even if it's just the customer name -- to start tracking purchases. Retrieving more information, such as email or home address, allows you to create custom marketing campaigns directly from the POS. The customer tracking feature allows you to up-sell as well by looking at past purchases when helping the customer. If the customer typically buys chocolates with his roses, for example, a POS system enables you to remind him before you complete the sale.
One of the biggest advantages of the POS system is its reporting ability. The system typically integrates with your financial software, exporting relevant sales and inventory data. But within the system, you can customize reports to see patterns in purchases, such as items that sell better in winter, for example. A POS system also provides a big-picture review of sales trends for the year, or narrows the focus down to a snapshot of which employee sold the most that day.
